A group reservation in Namibia is not managed with one final confirmation. It is a sequence of options, deposits, sales updates, rooming lists, balances and operational documents.
The correct procedure must make visible who does what, within which date and with what consequences. It must also protect the participants' data: a rooming list contains personal information and, in some cases, sensitive data that cannot circulate without criterion.
In short: the correct flow
- Brief with dates, duration, minimum and maximum participants.
- Preliminary proposal and availability check.
- Temporary options, when granted by suppliers.
- Confirmation according to conditions and deposits communicated.
- Periodic sales updates.
- Preliminary and definitive rooming list.
- Economic reconciliation, balance and final documents.
Deadlines, percentages and policies are not universal: those reported in the proposal and accepted terms apply.
The essential data in the initial request
- preferred period or dates;
- duration;
- minimum number, sales base and maximum;
- companions or guides;
- price range and comfort;
- room configuration;
- services to include;
- commercial timing of the agency.
Status of availability
Each service should be identified as:
- proposed: not yet verified;
- available for inspection: verified but not blocked;
- optionally: held until a deadline;
- confirmed: accepted according to conditions and payments foreseen.
An option is not a definitive booking and may expire, be reduced or cannot be extended.
Deposits and conditions
The deposit serves to confirm the commitments included in the proposal. The document must indicate:
- amount or calculation criterion;
- expiration;
- covered services;
- any non-refundable components;
- rules in case of group reduction;
- currency and payment methods;
- conditions applicable to the different performances.
There is no valid percentage for every trip. The definitive conditions are those of the contract and confirmed services.
Minimum, base and maximum participants
- Operating minimum: number below which the trip may not start or require a new price.
- Sales base: number used to calculate the reported fee.
- Maximum: limit determined by vehicle, rooms, accompaniment and quality of service.
The price does not always vary in a linear way: overcoming a threshold can serve a second medium or a different configuration. Learn more about driving land rate Namibia.
Rooming list: what data is really needed
The rooming list should not become an indiscriminate archive. We must collect and share only what is necessary for rooms, transport, activities and travel safety.
- name and surname as per document, when requested;
- composition of the rooms;
- double, twin or single;
- role of companions and guides;
- age of minors when necessary for the service;
- relevant dietary needs;
- mobility needs that the supplier must manage;
- operational contact of the group.
Protection of participant data
For customers and agencies subject to European law, management must respect principles such as purpose, minimization, security and limitation of conservation.
- Collect only data necessary for the specific performance.
- Explain why they are being requested and who they will be shared with.
- Use appropriate channels, avoiding sensitive documents in open chat groups.
- Only share information with lodges, guides and suppliers that they actually need to use.
- Limit duplicate access and versions.
- Define retention and deletion times consistent with contractual and legal obligations.
Data relating to health, serious allergies or disability may require additional safeguards. They must be required only when necessary for organization or security and managed through the agreed privacy process, not automatically entered in each copy of the rooming list.

When to send the rooming list
- Preliminary version: to check rooms and supplements.
- Final version: within the deadline required for vouchers and nominative services.
Subsequent modifications, replacements and room changes must be confirmed by the partner and may generate costs.
Reductions and cancellations
A reduction can simultaneously involve:
- penalties on rooms released;
- recalculation of fixed costs per person;
- change of vehicle;
- loss of free or dedicated conditions;
- new single supplements.
It is therefore necessary to distinguish individual cancellation from the change in the economic basis of the group.
Balance and final check
Before settlement, agency and partner should reconcile:
- definitive number of participants;
- rooms and supplements;
- services added or removed;
- payments already made;
- variations foreseen by the contract;
- penalties, credits and billing information.
Operational documents
- definitive itinerary;
- vouchers or confirmations required;
- supplier contacts;
- contacts for assistance and emergencies;
- rooming list in the strictly necessary version;
- information on vehicle and accompaniment;
- meeting times and points;
- final inclusions and exclusions;
- procedures for field variations.
Frequently asked questions
Is the deposit always non-refundable?
No. It depends on the conditions applicable to the individual services and the accepted contract.
When are names communicated?
According to service deadlines. They should only be collected when necessary and through the agreed process.
Is it possible to replace a participant?
Often yes for some terrestrial services, but not automatically. Named services may have specific rules or costs.
What happens if the group doesn't reach the minimum?
The options indicated in the conditions apply: cancellation, supplement, modification of services or repositioning of the departure.
A controlled practice
When deadlines, versions and data are managed in a single stream, the agency maintains commercial control and the local partner can correctly coordinate services. Privacy is not a bureaucratic attachment: it is part of the operational quality.
